The rule that overrides everything else
A pilgrim did not cross a continent to miss a prayer at the Haram. That is the starting point, and it is not negotiable. Any activity that forces a group to pray somewhere other than the holy sites will leave a bad taste, however well it goes otherwise.
That rules out afternoon and early-evening slots, which eat into 'asr, maghrib or 'isha. In practice only one window remains viable: after al-'isha. The group spends its full day at the Haram, goes out afterwards, and returns before fajr.
This constraint carries an unexpected benefit. Going out at night, your pilgrims escape the crushing afternoon heat. Outdoor activities become pleasant instead of an ordeal, and the desert sky does the rest.
How long to plan for
Three to four hours is enough, and it is better not to exceed that. A group returning at two in the morning will be useless the next day, and you will hear about it.
The drive counts within that. Half an hour each way: out of a four-hour outing, three hours remain on site. That is enough for activities, a meal and a reminder, provided nothing drags.
The real cost per person
Rates around Makkah for a complete group evening — transport, meal and activities included — generally sit between €35 and €50 per person. Below that, something is missing: usually transport, sometimes the meal.
The real trap lies elsewhere. Most venues charge a minimum fee per evening regardless of numbers. A group of twenty will therefore pay far more per head than a group of sixty. If you have several small groups in one week, combine them into a single evening: the saving is immediate.

Separate men's and women's areas
This is the first thing your pilgrims will check, and often the only thing that decides. A venue offering a single shared space will force you to turn away half your groups.
What to examine concretely: are there two genuinely independent areas, not just a partition? Does the pool run on separate time slots? Is there female staff to supervise? And above all, is photography prohibited during the women's slots — because that is where incidents happen.
Have these four points confirmed before booking. A serious venue will answer without hesitation; one that dodges will expose you.
What makes an outing fail
Four causes recur, and all are avoidable.
Cascading delays. The time of 'isha shifts by nearly an hour between winter and summer, and traffic around the Haram is unpredictable. Agree on a flexible programme with the venue rather than a timetable to the minute.
Undeclared dietary needs. A traditional dinner is prepared hours ahead; an allergy announced on arrival cannot be fixed. Collect them at registration and pass them on when booking.
An unprepared speaker. If your sheikh is to give a reminder, check the room has sound equipment and brief him on the format. An improvised reminder in a poorly equipped space ruins the best moment of the evening.
No contact on site. Ask who your host will be during the evening and how to reach them. A venue with no identified contact will leave you handling the unexpected alone.
The checklist before confirming
Go through these one by one with the venue you are considering. If it stumbles on more than one, look elsewhere.
- Does the programme start after al-'isha?
- Is return transport included in the quoted price?
- Do two genuinely independent areas exist?
- What is the minimum charge per evening?
- Is a reachable host present all evening?
- Is the meal prepared on site or delivered?
- Is the reminder room equipped with sound?
- What are the cancellation terms?
